This Privacy Policy explains how Property LeadX ("PropertyLeadX", "we", "us"), a Tribe Consulting company, collects, uses and shares information when you visit propertyleadx.com (the "Site"), use the client portal at portal.propertyleadx.com (the "Portal"), or contact us.

1. Information we collect

Information you give us. When you submit a form on the Site (for example "Book A Call" or "Contact Us"), we collect your name, company, email address, phone number, the options you select (such as how many callers you are interested in) and anything you write in the message field.

Information collected automatically. Like most websites, our servers and analytics tools may record your IP address, browser type, device type, pages visited, the page you came from, and the date and time of your visit. If you arrive from an advertisement or campaign link, we may store the campaign parameters (for example utm_source) in a cookie so we know which campaign brought you to us.

Portal information. If you are a client, the Portal holds information about your engagement: your virtual assistant's hours and activity, the leads delivered to you, daily reports, invoices, your availability calendar and messages. That information is governed by your client agreement as well as this policy.

2. How we use information

We use information to:

  • respond to your enquiry and set up a strategy call;
  • provide, operate and improve our services and the Portal;
  • send service-related communications, such as reports, invoices and account notices;
  • understand how the Site is used so we can improve it;
  • comply with legal obligations and enforce our agreements.

We do not sell your personal information.

3. Cookies and analytics

The Site uses a small number of cookies and similar technologies:

  • Essential cookies needed for the Site to work (for example, to remember that you closed a notice).
  • Analytics cookies (Google Analytics 4) to measure how the Site is used. Analytics cookies are only set after you accept them in the cookie notice. You can change your choice at any time by clearing your browser's site data.
  • Campaign attribution — a first-party cookie that stores campaign parameters from the link you clicked, for up to 90 days.

Embedded videos are loaded from YouTube's privacy-enhanced domain and only when you press play; YouTube may set its own cookies at that point.

4. How we share information

We share information only with:

  • Tribe Consulting and its affiliates, which operate PropertyLeadX and provide the team that delivers the service;
  • service providers that help us run the Site and Portal — for example hosting (Vercel), databases (Supabase), email delivery (Resend), analytics (Google) and video hosting (YouTube) — each bound to use the information only to provide their service to us;
  • professional advisers and authorities where required by law, to protect our rights, or in connection with a merger or sale of the business.

5. Data retention

We keep enquiry details for as long as needed to respond and to run our business, and client records for the length of the engagement plus the period required by accounting and legal obligations. Analytics data is retained according to Google Analytics settings (currently 14 months).

6. Security

We use reasonable technical and organisational measures to protect information, including encrypted connections (HTTPS), access controls and row-level security on our lead database. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your choices and rights

  • Marketing: you can ask us to stop contacting you at any time by emailing contact@propertyleadx.com.
  • Access, correction and deletion: you can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond within the time required by applicable law.
  • US state privacy rights: residents of states with privacy laws (such as California) may have additional rights, including the right to know, delete and opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioural advertising.
  • International visitors: if you are in the UK or EEA, you also have the right to object to or restrict processing and to lodge a complaint with your supervisory authority. The Site is intended for businesses in the United States.

8. Children

The Site and Portal are for businesses and are not directed at children under 16. We do not knowingly collect information from children.

9. Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it was last changed. Material changes will be posted on this page.
